YourTable provides a free, easy-to-use, and flexible online reservation system designed for the hospitality industry. Built on years of experience in the restaurant business, we offer a solution created by restaurateurs, for restaurateurs.

Our mission is to give guests the simplest way to make reservations, while also supporting the operational needs of hosts. That's why we've included extensive customization options, as described in the product section.

Product

Our online reservation system is designed with both flexibility and simplicity in mind. We focused on delivering a streamlined system that includes only the essential features to ensure smooth adoption.

Features

1. Adding Tables

Once you complete registration, you can add tables under the tables tab, including details like table name/number, area, and capacity. Hosts can then assign tables to reservations, which are displayed in an organized, filterable list under the reservations tab. For more information, see the reservations section.

When assigning a table, it will be marked in red if it's already occupied during the requested time period. Additionally, for each table, you will always see the previous and next occupation, including basic details such as the time, date (if necessary), and guest count, regardless of the reservation period.

Additionally, under the tables tab, areas can be categorized as Interior (marked by ❄), Exterior (marked by ☀), or All, allowing for quick adjustment based on weather conditions.

2. Form

Under the form tab, you can configure several options that affect the public reservation form. Below are the key settings you can manage:

  1. Resting Days

    Specify days when guests cannot make reservations.

  2. Reservation Periods

    Define time periods like breakfast, brunch, lunch, or dinner with respective time slots (e.g., 8:00 AM - 10:00 AM). Guests will only see times that fall within these defined periods. You can assign colors to these periods to help filter reservations visually.

  3. Reservation Lead Time (hours)

    Set how many hours in advance guests must book. For example, if you set a lead time of 3 hours and it's currently 12:00 PM, guests can only book from 3:00 PM onwards.

  4. Cancellation Tolerance (hours)

    Define how many hours before the reservation time guests can cancel through a link in the confirmation email. After this period, they must call to cancel, preventing last-minute cancellations.

  5. Delay Tolerance (minutes)

    Set how many minutes late a guest can be before the booked table is given to others. The reservation status will be color-coded:

    • Green: On time
    • Yellow: Late
    • Red: Too late (tolerance exceeded)
  6. Additional Information

    Include extra information like opening hours, which guests can view on the reservation form.

  7. Default Messages

    Set standard acceptance or rejection messages for reservations. These messages can be customized for each reservation if needed.

  8. Design Customization

    You can set background and font colors, and even upload a logo or image in JPEG or PNG format for the reservation form.

  9. Languages

    At YourTable, we understand the importance of accessibility and user experience, which is why you can select up to three languages and set the order in which every component of our system that guests interact with is displayed: English, German, and Italian. This multilingual support ensures that languages can be adjusted to regional preferences, allowing your guests to navigate the reservation system effortlessly and make reservations without language barriers, enhancing both the guest and host experience.

At the bottom right, you'll find a share icon to generate a QR code and link for easy sharing of the reservation form.

3. Reservations

Under the reservations tab, you can view and manage all reservations and requests. Here's how the system works:

  • Date Navigation: Browse reservations by date. Use the arrows to move between days, or select a date range. Double-clicking a date in the reservation list will jump to that date. To further simplify navigation, you can quickly jump to the current date by clicking on the clock next to the date.
  • Filtering and Sorting Options: You can filter or sort reservations by:
    • Reservation status (accepted, pending (framed in red if there are any pending reservations in the currently selected time frame), rejected, canceled)
    • Time periods (as defined in form tab)
    • Other details such as name, time, number of people, area, and table number (if applicable)
    • Search by specific terms
  • Pending Requests: A checkbox labeled "⧖" shows all pending requests, regardless of the date, to ensure no requests are missed. This checkbox turns red if there are any pending reservations.
  • Guest Arrival Tracking: There's a checkbox on the left of each reservation to mark whether guests have arrived.
  • Hide Arrived Reservations: A checkbox labeled "👁" hides reservations marked as "arrived", bringing the next upcoming reservation to the top of the list when sorted by time (which is the default setting).
  • Reservation Modal: Click any reservation to view or edit its details:
    • Pending: Assign tables and approve or reject the request. You can use a default reply or write a custom one.
    • Accepted: Edit guest information, reassign tables, modify reservation details, or add notes as needed.
    • Rejected/Canceled: View the reservation details only.
  • Internal Reservations: Use the "+" button at the bottom right to add internal reservations, which are automatically accepted. This feature is useful for walk-ins or phone reservations.
  • Weather Conditions: Select the current weather condition in the upper right corner to adjust area availability accordingly. This enables appropriate table assignments by displaying only available tables and ensuring occupancy indicators accurately reflect the current circumstances.
  • Occupancy Indicators: To streamline the process and minimize the potential for human error, the decision to accept, reject, postpone, or internally book a reservation is supported by an occupancy indicator, providing immediate insights. This indicator appears as a colored dot in the upper right corner of the relevant modals or forms:
    • Green: Sufficient space for the requested number of people (less than 80% full).
    • Yellow: Sufficient space remains, but occupancy is high (between 80% and 90% full).
    • Red: Almost full (90% full or more).
    • Red outline: No space available for large groups. The size of a "large group" is dynamically determined by an algorithm based on the available tables.

    The same indicator, independent of the number of people, is displayed for each period of the currently selected day above the reservation list. In contrast to the dot-format indicator, this one shows the exact percentage of occupancy and is colored according to the respective period color. It will turn yellow when 80% occupancy is reached and red when 90% occupancy is reached.

  • Tables Overview: In addition to the reservation list, there is an area-based, up-to-date overview of the tables and their respective reservations. This overview can be generated for each period, and when a reservation is marked as "arrived", the corresponding table turns red to provide a clear view of which tables are currently occupied. The red color can also be manually added or removed by clicking on the table.

5. Account Settings

Under the account tab, you can manage user authentication data and company information. You also have the option to delete the account permanently.
